SAP Information Steward

This SAP offering originally from its BusinessObjects portfolio aims to provide a single environment to discover, assess, define, monitor, and improve the quality of your enterprise data assets. It is a part of SAP Enterprise Information management (EIM). This sounds really like pure marketing. Well I realized it J Therefore let’s talk about it in plainer and more technical English.
What is this software trying to address is the data quality. Image how difficult is to get Month End Closing (MEC) done for many organization when they have their data spread over x different departments. Every department is using their “practices” to deal with the data. Users sometimes do not know what definition of the data is, they do not know ability to analyze data dependencies, and they lack visibility where the data is coming from. At the event of MEC there is a lot of rush to consolidate eh data into form that is needed to be. So this is where EIM is coming to: it has components to handle Information Governance, Master Data Management, Content Management, Event Processing and Data Service. Following the Information Steward solution it has in particular these components:

Components and capabilities:
SAP BusinessObjects Data Insight – Data profiling
SAP BusinessObjects Metadata Management – Metadata Analysis
SAP BusinessObjects Data Services – e.g. Data Cleaning within Cleansing Package Builder (CPB)
SAP BusinessObjects Data Quality Management – Data Quality (DQ) Monitoring

As Information Steward was originally BusinessObjects products there are /were following versions available:
Versions:
SAP Information Steward 4.2 (includes Data Cleansing Advisor feature)

Bypassing SSO in Analysis Office (AO)

For BW developers it is business as usual that they have to test their reports to check whether they are working with test user’s account. This means that during the report development the developer was using the developer account but during the testing he or she has to use test account. In case within the landscape a Single Sign-On (SSO) is in place the developer may not be able to use other account then his own one.

However there is a solution. You can bypass SSO and provide user credentials for particular log on. Depending on you user workflow you need to switch off setting of "Activate Secure Network Communication" for particular BW system. You can find this setting in SAP Logon Pad. Proceed with the right click on particular system and choose Properties. After that you get pop-up where you maintain the setting. Once you done with testing you may want to set it back.

For different option, how of how to log on to AfO with different non-SSO user see also a newer post: Logging to Analysis for Office with different (no SSO) user

“Last data update” in Analysis Office (AO)

As BusinessObjects Analysis Office (AO) is about to replace Bex in near future there are a lot of features that are being added to AO. One of the features that BEx web reporting has is “Last data update” in web reporting. Basically it shows the latest date and time of loads in all InfoProvider involved in Multiprovider on which particular report is based on. Similar functionality is offered in Analysis Office for MS Excel.

In version 1.3.9.2462 of AO this functionality is accessible from menu Info Field -> Last Delta Update or you can drg&drop it from Information tab of right side toolbar. Basically functionality is built into AO’s Excel add-in as macro and there are 2 functions available:

=SAPGetSourceInfo("DS_1", "LastDataUpdate")
=SAPGetSourceInfo("DS_1", "LastDataUpdateMaximum")
1st function returns the oldest load and 2nd one the newest load. First parameter is always the name of report (AO calls it DataSource) inserted into Excel’s worksheet.

Current missing BEx funcitonalities in SAP BusinessObjects Analysis edition for Microsoft Office

I was posting recently about replacement for BEx Analyzer and BEx Query Designer. In case of BEx Analyzer replacement tool more like to be is Analysis for MS Office (AO). In case of BEx Query Designer there is a new tool called SBOP Design Studio.

As both tools are not that far from BEx functionalists support here I’d like to focus on AO. If your organization is heavy BEx user and you plan to deploy AO in near future I suggest to check what are BEx features currently not supported. Below I list sources where to look:

1. SAP BusinessObjects BI4 Suite - Supported BEx Query Elements: A document prepared by Ingo Hilgefort SAP’s guru on SAP  BW and BusinessObjects integration. The document  only talks about AO but all BusinessObjects portfolio: AO for MS Office, AO for OLAP, Crystal reports for Enterprise, Web Intelligence, Dashboards, Explore, Design Studio.

3. search OSS Notes: within following components per particular BusinessObjects tool:
BI-RA-AD       SAP BusinessObjects DesignStudio
BI-RA-AO       Analysis, edition for MS Office
BI-RA-AWB    Analysis, edition for OLAP (Web)
BI-RA-BICS    BI consumer services
BI-RA-CR       SAP Crystal Reports, Business Views Manager
BI-RA-CRV     SAP Crystal Reports Viewer
BI-RA-DKI      Desktop Intelligence
BI-RA-DVP     Data Visualization package
BI-RA-EBI      Edge BI (Business Intelligence)
BI-RA-EXP     Polestar, Explorer
BI-RA-IA        SAP Crystal Interactive Analysis, desktop edition
BI-RA-VOY     Voyager
BI-RA-WBI     Web Intelligence
BI-RA-XL       Dashboards and Presentation Design

Full list of BusinessObjects’s OSS components is here.

WebI hints

Today just very briefly about few things in WebI I recently observed:

1. Re-ordering sequence of several tabs within Webi: Sometimes it may happen that you create several tabs in your WebI. Afterwards you realize that sequence of them is not correct according your user requirements. You can reorder your tabs anytime in Page setup menu -> Move report:

2. Changing your WebI page orientation: similarly to point no 1 sometimes you need to change page orientation. Functionality is available within same menu:  Page setup menu -> Page-> Landscape/Portrait:

3. Landing tab of webi: In case you have several tabs in your WebI. You may want to set one of them to be opened as “default” once user is accessing it. So far I;m not aware that there is possibility ot set so called ”landing tab”. However what is working (at least in my case) is following: Stay in design mode of your WebI on the tab that you want to set as landing one. Then save your WebI. Once you access itthe webi the tab which you stayed in for last time before the saving will be the opening one. This will also apply when you transport the WebI into another system.

What will be BEx replacement?

Actually question should be what is BEx replacement? This is due to upcoming end of maintenance of BEx. Also customers are considering this and they are slowly moving towards replacing BEx by other reporting tool. What I experienced so far at different customers following are options when you would decide to go for non-SAP provenience tool:

Microstrategy, Cognos, QlikView, Tableau

If you would go for SAP provenience tool this would be mostly about BusinessObjects portfolio. From these tools most similar to Bex is toll called SAP BusinessObjects Analysis. There is a huge similarity because Analysis same as BEx Analyzer are encapsulated into MS Excel as add-ins. Furthermore almost all features of BEx are supported although SAP claims that Analysis is not BEx replacement. I assume this is mostly they want to leave open doors to other BusinessObjects tool which customer can choose from.

There are two separate editions of Analyses available. First is edition for Microsoft Office supporting PowerPoint and Excel. It is called SAP BusinessObjects Analysis, edition for Microsoft Office (abbreviation AO, SMP component: BI-RA-AO-XLA Excel Addin, Secondary Components: BI-RA-AO-PPA Powerpoint Addin). 2nd there is a web version which is called SAP BusinessObjects Analysis, edition for OLAP.

Few words about history of the tool: Analysis came with SAP’s acquisition of BusinessObjects. After this acquisition it got the name "Voyager" – its OLAP version. During consolidation of BO tools and their integrating into SAP portfolio the name was changed to "Pioneer". Which was tool combining Voyager’s user interface with OLAP capabilities of BEx. Afterwards new name was chosen "Advanced Analysis" which got finally shortened to simply "Analysis."

What are the objects that you can in this tool report on? Those are BEx Queries, query views and BW InfoProvider as data sources. There is a so called “ribbon” available with AO functions in MS Excel. From the ribbon following functions are available:

  • Data Source – you can open data provider here called data source (e.g. BEx query)
  • Undo – un/redo last actions
  • Data Analysis – invoke prompt (a.k.a. selection screen), filter/sort/ data, create local calculations
  • Display - do formatting, totaling
  • Insert Component – like charts
  • Tools – further formulas/calculations maintenance
  • Planning - optional
  • Design Panel – design your local report layout (add characteristic or key figure – here called measure)
  • Settings
Where to download it?

Zero suppression in BO WebI

Here another story on topic of pursuing initiatives of moving away from BEx and trying to replace it by another reporting tool from BusinessObjects portfolio.

Zero suppression is already known to BW developers from BEx Query Designer. Here you can set up this feature for particular key figure. However in WebI this feature is working differently. In BEx it is defined in the axis but in Webi it can be set for rows. Therefore it could let to collision. This is resolved in SAP BusinessObjects Business Intelligence platform 4.0 as of Feature Pack 3 where it can be set up similarly to the BEx. Notice that these settings are available in menu of Format Table or Format Chart pop-ups.

For further details see following SAP Notes:
1751883 - Zero suppression explained (filter out 0 values)

Other stories topic of leveraging BEx queries in the BusinessObjects tools:

Scaling factor in BO Webi

As BEx tools are slowly being faded out exploring new reporting tools from e.g. BusinessObjects portfolio becomes important. It is clear that BEx won’t go away within big bang approach. Organizations are moving towards other reporting tools slowly. One of approaches is to leverage existing BEx portfolio that was developed within companies for years. One of leveraging techniques is to base BusinessObjects reports on top of existing BEx queries. If you do so you may face difficulties using BEx features within particular BusinessObjects tools.

One of examples is how to tackle with scaling factor set in BEx in WebI. The scaling factor is popular feature via witch you can influence of how numbers in reports are displayed. You can reuse such a queries having the scaling factor set in WebI as well. Till WebI version contained in SAP BusinessObjects Business Intelligence platform 4.0 you can simply display such a KPIs set in BEq in Webi. As of Feature Pack 3 for same platform version there are more possibilities available to work with scaled measures. In fact you can use the scaling factor attribute to determine the scaling value, to calculate unscaled value and so on.

On SCN there is a tutorial available which explains how to create the BEx query using a scaled measure and how to use the same to get the unscaled value.
